Stressing Less with e-mail!
With increasing amounts of spam and
viruses, and more and more legitimate
e-mails needing our immediate attention, it’s easy to get pretty stressed!
Think and act in each of these four
areas for more efficient and productive e-mail. And a lot less stress.
- Manage
Do you leave everything in your Inbox? It’s more efficient to:
 | set up e-mail addresses for key
functions: sales, enquiries etc. |
 | set up folders for different types
of e-mail: customers, suppliers, etc. Then save all
e-mails into their folders |
 | delete e-mails you don’t need |
Automate
Don’t just let e-mail arrive in your Inbox for you to sort.
Set e-mail software to automatically:
 | sort your incoming e-mails into
folders, and then deal with each folder individually |
 | send spam to Trash |
 | Trash other unwanted e-mails |
Retain
Keep those e-mails you need to keep! Set up an e-mail retention procedure - it
can be as simple as printing and filing important e-mails!
Guide
Ensure staff are aware of, and follow, these good e-mail practices. Write as
guidelines. You also need to develop Inappropriate e-mail Usage Guidelines
for staff. They will cover what is inappropriate workplace e-mail usage, and
the action that could be taken.
